1. Who we are
SwiftCare Transport, of 2400 Harbor Logistics Park, Suite 310, Long Beach, CA 90802, USA, is the controller of the personal data described in this policy. We move shipments worldwide and operate the tracking service on this website. Questions about privacy can be sent to support@swiftcaretransport.com.
This policy explains what we do with personal data belonging to customers, senders, receivers, website visitors and business contacts.
2. Data we collect
- Account data: your name, email address, phone number, password (stored only as a cryptographic hash), account creation date and last sign-in time.
- Shipment data: sender and receiver names, addresses, email addresses and phone numbers, a description of the goods, weight, dimensions, declared value, the route and every recorded stop with its timestamp.
- Customs data: commercial invoices, tax and EORI numbers, commodity codes and, where a border authority requires it, identification documents.
- Communications: messages you send through the contact form, emails, call notes and the reviews you submit.
- Technical data: IP address, browser type, device type, pages visited and timestamps, collected in server logs.
- Delivery evidence: signatures and, on some services, a photograph taken at the point of delivery.
We do not deliberately collect special category data. Please do not include health, biometric or similar sensitive information in messages to us unless a customs authority specifically requires it.
3. Where the data comes from
Most data comes directly from you when you register, book a shipment or contact us. We also receive data about you from people who send shipments to you, from our agents and partner carriers who handle the shipment along its route, and from customs and border authorities.
4. How we use your data
- To collect, transport, clear through customs and deliver shipments, and to record each stop along the route.
- To create and maintain your account and to link shipments addressed to your email to your dashboard.
- To provide tracking information to people who hold the tracking number, in the limited form described below.
- To answer enquiries, provide support, investigate incidents and handle claims.
- To take payment, issue invoices and recover unpaid charges.
- To comply with customs, transport, tax, sanctions and anti-money-laundering obligations.
- To keep our network secure, prevent fraud and misuse, and improve our services.
- To send service messages about your shipments. Marketing emails are sent only with your consent and every one carries an unsubscribe link.
5. Legal bases for processing
Where the UK GDPR, EU GDPR or a similar law applies, we rely on: performance of a contract (carrying out the shipment and running your account); legal obligation (customs, tax and sanctions requirements); legitimate interests (network security, fraud prevention, service improvement and business correspondence, balanced against your rights); and consent (marketing emails, non-essential cookies and publishing a review you submit). You can withdraw consent at any time without affecting processing already carried out.
6. Shipment tracking and visibility
A tracking number is a key: anyone who has it can see the shipment's route, status and stop history, together with the sender and receiver names and partially masked contact details. We mask email addresses and phone numbers for anonymous viewers precisely to limit what a tracking number alone discloses.
Full addresses and contact details are shown only to our staff and to signed-in account holders whose registered email matches the sender or receiver email recorded on that shipment. Treat your tracking numbers as confidential and share them only with people who need them.
7. Who we share data with
- Carriers, agents and subcontractors who perform part of the transport, to the extent needed to complete the delivery.
- Customs authorities, border agencies and regulators, where the law requires it.
- Payment providers and banks, to process payments. We never store full card numbers.
- Service providers such as hosting, email delivery and IT support, under written contracts limiting them to our instructions.
- Insurers and legal advisers, where a claim or dispute arises.
- A buyer or successor, if our business or part of it is sold or reorganised.
We never sell personal data, and we do not share it for third-party advertising.
8. International transfers
Shipping is international by nature: to deliver a parcel from Frankfurt to New York, the receiver's details must reach our people and agents in the United States. Where data leaves the UK or European Economic Area, we rely on adequacy decisions where they exist, and otherwise on Standard Contractual Clauses together with appropriate technical safeguards. A copy of the safeguards used for a specific transfer is available on request.
9. How long we keep data
- Shipment and customs records: 7 years from delivery, to meet customs, tax and liability obligations.
- Account data: for as long as your account is open, then 12 months after closure.
- Contact messages and support notes: 3 years.
- Reviews: until you ask us to remove them.
- Server logs: 12 months.
- Claims files: 7 years from settlement.
10. How we protect data
Traffic to this website is encrypted with TLS. Passwords are stored only as salted one-way hashes and are never recoverable in readable form. Access to shipment records is restricted by role and logged, database credentials are held outside the public web folder, and forms are protected against cross-site request forgery. We review our security regularly and have a documented process for responding to any incident, including notifying you and the relevant regulator where the law requires it.
11. Cookies and similar technology
We use a single strictly necessary cookie to keep you signed in and to protect forms from cross-site request forgery. It contains an opaque session identifier, is marked HttpOnly and SameSite, and is sent only over HTTPS on the live site. It expires when you close your browser or sign out.
We do not use advertising or third-party tracking cookies. Fonts are loaded from Google Fonts, which receives your IP address in order to serve the font files; no cookie is set by that request. Blocking our session cookie in your browser will prevent sign-in from working.
12. Your rights
Depending on where you live, you may have the right to: access the personal data we hold about you; have inaccurate data corrected; have data erased where we no longer need it; restrict or object to certain processing; receive your data in a portable format; withdraw consent; and, in California, to know what is collected and to opt out of any sale or sharing of personal information (we do neither).
To exercise a right, email support@swiftcaretransport.com from the address on your account. We respond within 30 days and may ask for identification before releasing data. Exercising your rights never costs anything and never affects the service you receive.
Some data cannot be erased on request where we must keep it for customs, tax or liability reasons. We will always explain which exemption applies.
13. Children
Our services are aimed at businesses and adults. We do not knowingly collect data from anyone under 16. If you believe a child has given us personal data, contact us and we will delete it.
14. Changes to this policy
We update this policy when our practices or the law change. The date at the top shows the current version. Significant changes affecting account holders are announced on this website at least 14 days before they take effect.
